1.1 Information You Provide Directly

• Contact and resource requests: when you contact us or download a free resource (such as our Annual Content Calendar), we may collect your name, email address, phone number, department or agency name, job title, and city/state. 

• Job Board accounts: if you register for an account on the Platform, whether as an employer or a job seeker, we collect your name, email address, account credentials, and any profile information you choose to add. 

• Job listings and applications: employers who post listings provide job description content and department/agency contact information. Job seekers who apply provide application materials, such as resumes, cover letters, and anything else submitted with an application.

1.2 Information Collected Automatically

When you visit the Site or the Platform, we may automatically collect your IP address, browser type, device type, operating system, and usage patterns (such as pages viewed and time on site). This is collected using cookies and similar tracking technologies on both the Site (hosted on Wix) and the Platform (hosted on JBoard.io).

We use the information we collect to:

• Operate, maintain, and improve the Site and the Platform 

• Match job seekers with employers and facilitate job applications 

• Deliver requested resources and respond to inquiries 

• Send marketing communications, educational content, and Platform updates relevant to Fire & EMS, subject to Section 4 

• Analyze usage patterns to improve our service offerings 

• Comply with applicable legal obligations 

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. We may share your information in the following circumstances:

• Job applications: if you apply for a job on the Platform, the materials you submit are shared directly with the employer that posted the listing. They are not made publicly visible and are not shared with other employers. 

• Service providers: we share information with trusted third parties who help us operate the Site and Platform, including Wix (Site hosting), JBoard.io (Platform hosting), email marketing platforms (e.g., Mailchimp or Flodesk), and CRM tools. These providers are contractually limited to using your information to provide services to us. 

• Legal requirements: we may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of PIO Design Studio, our users, or others. 

By submitting your email address, you agree to receive communications from us, which may include delivery of a requested resource, Platform notifications (such as application status updates or new matching job listings), and marketing or educational content. You may unsubscribe at any time using the "Unsubscribe" link included in every marketing email, or by contacting us directly. Our marketing emails are designed to comply with the CAN-SPAM Act, including accurate sender identification and prompt honoring of opt-out requests. 

You may request that we delete your account, resume, or other application materials from the Platform at any time by contacting us using the information in Section 10. We will remove that content from active use within a reasonable time, except where retention is required for legal, employer recordkeeping, or dispute-resolution purposes, or where an employer has already downloaded your materials before your deletion request. Application materials are visible only to the employer(s) associated with the listing(s) you applied to and to PIO Design Studio staff who administer the Platform; they are never published publicly. 

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy or as required by law. We implement reasonable administrative, technical, and physical safeguards to protect your data. However, no method of electronic storage or transmission over the internet is 100% secure, and we cannot guarantee absolute security. In the event of a data breach affecting your personal information, we will notify you as required under the Massachusetts data breach notification law, M.G.L. c. 93H, and any other applicable law.

Regardless of where you live, we offer everyone who uses our Services the following choices: 

• Ask what personal information we hold about you 

• Request correction of inaccurate information 

• Request deletion of your personal information, subject to the exceptions described in Section 5 

• Opt out of marketing communications at any time

If you are a resident of a state or jurisdiction that grants you additional statutory privacy rights (for example, California), you may also have rights under that law. Contact us using the information in Section 10 to make a request, and we will respond consistent with applicable law.

Our Site is built and hosted on Wix, and our Job Board is built and hosted on JBoard.io. Each of these platforms may independently collect the technical information described in Section 1.2 through their own cookies and analytics tools, subject to their own privacy policies, which we encourage you to review. 

Our Site and Platform are not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, please contact us for immediate deletion. 

We may update this Privacy Policy periodically. The updated version will be posted with a revised effective date. Continued use of our Services after changes are posted constitutes your acceptance of the updated policy.
